#1 Use communication tools appropriate to the situation

Messenger allows for conversation in real time or in short intervals,
which makes it an ideal medium for obtaining answers and decisions that must be made today. But not “immediately” – this is an area where the telephone is the king. While messages in the chat do not disappear and will be available to our interlocutor also after the meeting they are currently at, or after they have dropped the children off at school, a telephone connection exists only here and now. That’s why it’s a good idea to reserve them for urgent matters, when something unexpected happens or when our colleague’s help and opinion is essential to taking the next step in what we’re working on. Understanding and applying this division across the team helps define expectations for response time and gives our colleagues the ability to manage the pressure of staying up to date with their messages.
#2 Don’t force constant availability and immediate responses
“I can’t talk now, I have time for myself.” It’s not just at work that how we communicate with others requires mindfulness. Social media and constant access to messengers on the phone create the illusion of constant availability. Meanwhile, a green circle does not equal readiness and willingness to talk, so we shouldn’t expect an immediate response to our message based on it. Some messengers – e.g. iMessage in iOS – allow you to display a message about disabled notifications in response to a message when the recipient is using focus mode, e.g. “Me time” or “Do not disturb”. It is worth considering this possibility regardless of the medium of contact, and not taking a delayed response or even the lack thereof personally. “Displayed” does not mean “ignored”.
#3. Ensure the quality of content in emails, messages and comments
